ArchFlow vs separate tools
A practice often pays for a CRM, proposal software, a project tool, a time tracker, invoicing, a client portal and a render tool, each with its own login and its own bill. ArchFlow is practice management software for architects: the running of the practice in one place, for one price per firm, with Archie, the assistant, on the web and on WhatsApp.
Competitor prices checked on 20 October 2026, each with its source.
Side by side, job by job
The kinds of tools practices use today, and how ArchFlow handles the same job. Where ArchFlow does less, it says so.
| The job | What practices use today | What ArchFlow does |
|---|---|---|
| Leads, clients and contacts | A CRMFor example, HubSpot, Pipedrive and Zoho CRM | A sales pipeline from first lead to won work, with the value of each stage. Each client has a timeline of calls, meetings, emails and notes, with their contracts and invoices. A contractor directory keeps each contractor's projects and payments. Not included: Emails you receive are not logged for you, because ArchFlow never reads your inbox. Emails you send to a client from ArchFlow go on that client's timeline. |
| Fee proposals | Proposal softwareFor example, Proposify, PandaDoc and Better Proposals | Fee proposals priced by phase, as a percentage of construction cost or by the hour, with a deposit, scope, exclusions, a revision limit and a valid-until date, in your own template or ours. The client accepts and e-signs in the portal, and an accepted proposal sets up the project and its fee schedule. |
| Signatures | E-signature softwareFor example, DocuSign and Dropbox Sign | Clients sign proposals and stage completion certificates in the client portal: they type their name and draw a signature, and the signed copy is filed in the project. Not included: Contracts are stored, not e-signed: you upload them to the client's Contracts tab. A signature is a typed name and a drawn signature with the time, not a certified signing service, so keep an e-signature service for documents that need one. |
| Projects, tasks and drawings | A project management toolFor example, Asana, Trello and monday.com | Projects run by phase, from concept to completion. Tasks have assignees, due dates, comments and attachments. Drawings keep their revisions with their issue status, and each project logs RFIs, variations, site snags with photos, and submissions to the building authority with the days waited. Not included: No Gantt charts or resource planning. |
| Time tracking | A time trackerFor example, Harvest, Toggl Track and Clockify | Log time in shorthand (2h, 90m) by project, phase and task, billable or not, on the web or on WhatsApp. It feeds utilisation and the profit on each phase. Not included: No running timer or timesheet approval, and invoices are not made from logged hours: ArchFlow invoices fees by phase. |
| Invoices and fees | Invoicing softwareFor example, Invoice Ninja and Harvest | Invoices from the fee schedule, a completed phase or an approved variation, in the firm's own currency, with payment terms, a due date, your bank details and, once you tick that you are registered for tax, tax lines. They go from your own email address with the PDF attached. Reports show fees agreed, collected and overdue. Not included: Clients can't pay by card or through a pay link: invoices carry your bank details and you mark them paid. No automatic payment reminders (Archie can draft one when you ask) and no recurring invoices. |
| Keeping clients up to date | A client portalFor example, SuiteDash, Assembly and Basecamp | A private link for each project, with no client account needed, an optional password and an expiry date. You choose what the client sees: progress, fees, invoices, chosen drawings and files, permit status and renders. Clients sign there and comment on files. Client approvals of a stage or a drawing set, with a code sent by email, are off until a firm switches them on in Settings, and then on each project that uses them. |
| Renders and short films | AI rendering softwareFor example, mnml.ai, Veras and Gendo | Render Studio turns a model view or a sketch into a photoreal render, edits part of an image, enhances it for print and animates a still into a short film. Renders can go to the client portal. Not included: Films run up to 15 seconds, at up to 720p. |
| Concept plans | AI floor-plan toolsFor example, Maket and Finch3D | Technical Drafts turns a sketch, a photo, a render or a written brief into a concept plan with a 3D model, an A3 drawing set, a specification and schedules, and exports it as DXF for AutoCAD and Revit, IFC for Revit and ArchiCAD, OBJ for SketchUp, and GLB for visualisation tools. Not included: These are concepts for the architect to develop, not construction drawings: the drawings are still made in your CAD. |
| Checking a drawing set before you submit | A careful check by hand, or a paid plan review | The AI Compliance Checker reads the drawing set (up to 40 pages) and lists what does not comply, what to check and what evidence is missing, sheet by sheet, with an estimate of how the submission is likely to go. Researched rule packs cover dwellings in England, the US, Canada, Australia, New Zealand and South Africa. Elsewhere it runs general drawing checks and looks up official sources while it checks, with links. Not included: It is an estimate before you submit, never the building authority's decision. It is not a code library either: keep your code references for looking rules up. |
| Updates from site and on the move | Notes apps, chat groups and photos sent to yourself | Archie on WhatsApp, on every plan: send a site photo to log a snag, log time, raise an invoice, send the latest drawings or ask how a project stands. Send a voice note and Archie writes it down and reads back a numbered list, and nothing is saved until you type YES or tap Save. Voice notes are on for every firm and use no credits, with a fair-use limit. The firm owner can switch them off in Settings. Not included: There is no iOS or Android app: ArchFlow runs in the browser on a computer, tablet or phone, and on WhatsApp. |

Most separate tools charge for each person. ArchFlow is one price for the firm, up to its plan's seats. Tick what you use and see the two side by side.
Your separate tools: US$84.47 a month for 3 tools. ArchFlow Small Practice: US$69 a month.
Your separate tools
US$84.47 a month
Illustrative only. The tools are not exact equivalents: some do more in their own area, and ArchFlow's renders, drafts and checks are limited by its monthly credits. Vendors change their prices, so check their own pages before you decide. Nothing you enter here is saved or sent.
About ArchFlow's credits
Render Studio, Technical Drafts and the AI Compliance Checker use credits. Everything else, including Archie's chat and voice notes, uses none.
Each plan includes credits every month: Solo 500, Small Practice 900, Studio 1,900, Enterprise 3,850. On Solo, that is about 71 Standard 2K stills, or 7 five-second films.
Each job shows its price in credits before it starts (for Technical Drafts, an estimate).
If a firm uses up its month's credits, those three tools pause until the plan renews, or until the firm moves to a plan with more credits. Everything else keeps working.
Where these prices come from

Questions
Do I still need my CAD software?
Yes. ArchFlow runs the practice around the drawings: clients, fees, projects, invoices and the client portal. Technical Drafts gives you concept plans to develop, exported as DXF for AutoCAD and Revit, IFC for Revit and ArchiCAD, OBJ for SketchUp, and GLB for visualisation tools.
Do I still need my accounting software?
Yes. ArchFlow sends fee proposals and invoices, with tax lines once you are registered for tax, and shows what has been paid. Bookkeeping, tax returns and payroll stay in your accounting software, such as Xero, Sage or QuickBooks. There is no accounting sync.
Does Archie read my email?
No. Email from ArchFlow is send-only. Connect Gmail or Outlook and ArchFlow sends invoices, proposals, documents and the emails Archie drafts (shown to you first) from your own address. Archie never reads your inbox, and your email and file storage stay as they are.
How do the prices compare as the team grows?
ArchFlow is one price per firm, up to a set number of seats: Solo is $39 a month for 1 seat; Small Practice is $69 a month for 4 seats; Studio is $149 a month for 10 seats; Enterprise is $299 a month for 25 seats. Every plan has every feature. ArchFlow's monthly and yearly prices are below its regular prices for now, and the regular prices apply when that ends (see Plans). Most separate tools charge for each user, and some sell a minimum number of seats, so their cost grows with the team. For more than 25 people, email sales@archflowsolutions.com.
What do credits pay for?
How far can I rely on the compliance check, and where does it work?
It is in beta. Upload the drawing set before you submit, and it lists what does not comply, what to check and what evidence is missing, with the sheet for each item, and gives an estimate of how the submission is likely to go. It is always ArchFlow's estimate, never the building authority's decision. Researched rule packs cover dwellings in England, the US, Canada, Australia, New Zealand and South Africa. Anywhere else it runs general drawing checks and looks up official sources while it checks, with links and dates. Each check shows its price in credits before it runs.
Can I try ArchFlow before I pay?
You can look around first: explore the sample practice, a made-up firm with projects, fees, invoices, Archie, Render Studio and Technical Drafts, where nothing you do is saved, or watch the demo. Your own workspace opens once you pay for a plan. On Solo, a new firm's first month on a monthly plan is $28, then $39 a month.
Will you move our clients and projects across?
Yes, free. After you pay, email sales@archflowsolutions.com your client list, current projects, one recent fee proposal and one recent invoice, and your logo, and our team loads them within 2 working days. You can ask at any time, even months later. There is no self-serve import.
Does ArchFlow work in my country?
Yes. ArchFlow works worldwide: each firm sets its own currency (23 to choose from), time zone and tax wording, and a project or a proposal can have its own currency. Plans are priced in US dollars. The Compliance Checker uses the rule pack for the project's own country where there is one.
How does ArchFlow compare with Monograph, Factor or Houzz Pro?
They are practice management tools too, each priced its own way. When we checked on 20 October 2026, Monograph was priced by team size, from $45 to $490 a month (its page doesn't say how that is billed); Factor was $30 a user a month, billed yearly, for 5 users or more; and Houzz Pro was $99 a month for one user on its Design plan, with extra users at $50 a month each (its own FAQ refers to an annual subscription). ArchFlow is one price per firm with every feature on every plan, from $39 a month. Compare features on each vendor's own site: the links are under the calculator.
